Why did I get this notification?
You are receiving these notices because our records indicate that you have users sending email via the VanillaSoft Email Service. Even if your users and/or projects are set up in VanillaSoft to send email from your SMTP server, it is possible that one or more of your users’ SMTP connections are broken/invalid, resulting in VanillaSoft sending your emails instead.
My users are connected via SMTP, not the VanillaSoft Email Service.
Our records indicate that some of your users send email via the VanillaSoft Email Service - even if you were not aware. Please check your project email settings and user email settings for broken/invalid SMTP connections.
What exactly is the VanillaSoft Email Service?
The VanillaSoft Email Service is a default email delivery system that we use to send emails on behalf of any users not configured to send email via SMTP. Until now, the VanillaSoft Email Service did not require email domain verification (DKIM setup), but that is now changing.
Why do I need to verify my domain now?
On May 23, 2023, we will be shutting down the current VanillaSoft Email Service to switch to a new, more secure service.
My domain was verified (DKIM set up) already. Does it have to be set up again?
Yes. We are switching our email service provider on May 23rd, 2023, requiring your DKIM to be re-verified. For details on how to re-verify, please refer to the Verify an Email Domain article.
How do I verify my email domain?

What is the difference between the VanillaSoft Email Services and SMTP?
The primary difference is that the VanillaSoft Email Service has additional security, resulting in higher email deliverability than with SMTP. In addition, the setup for each is different:
- With SMTP, each user profile has to be set up with SMTP credentials.
- With the VanillaSoft Email Service, once the administrator has verified the email domains, there is no additional setup required.
Do I have to use the VanillaSoft Email Service?
No. You can choose to set up all users and projects to send email via your SMTP server if you prefer. Instructions for SMTP setup can be found in the Setting Up Your Email Account article.
How long does it take for my domain to be verified?
After you update your DNS with the provided DKIM values, it could be as long as 48 hours before your domain is verified.
Do I have to verify my subdomains?
No, subdomains do not require verification. Once the primary domain is verified, you can add as many subdomains as desired.
