This guide helps VanillaSoft Admins reopen contacts marked with the "Closed Flag." These contacts won't be contacted again unless reopened.
Understanding the Closed Flag
- Differs from an "unflagged" contact (not routed but can be reopened).
- See Understanding Call Flags and Closed Flags in VanillaSoft for unflagged contacts.
Before You Begin
- Only Admins can reopen closed contacts.
Steps to Reopen a Closed Contact
- Log in as an Admin and select the Project containing the closed contact(s).
- Go to Contacts & Reports > Contact Management.
- Click Build a New Query or select an existing saved query.
- Filter Your Results
- Choose the fields you want to filter by, including the "ClosedFlag" field (hold Ctrl/Command to select multiple).
- Use the right arrow to move chosen fields to "Selected Fields."
- For "ClosedFlag" filter:
- Set "Filter" to "Equal To"
- Set "Value" to "True"
- You can add additional filters as needed.
- Click Run Query to display results.
- Update the Flag
- Click Perform Task once results load.
- Select Update Contacts from the menu.
- Update the Closed Flag
- Check the box next to "ClosedFlag."
- Set "Value" to "False."
- Confirm and Update
- Click Update.
- A confirmation message will appear. Click "OK" to proceed.
Your contacts are now open and can be placed back into the routing queue by following the steps in the Re-Routing Contacts in VanillaSoft article.
Important Notes
- Reopening a contact doesn't automatically re-flag it for routing.
- Reopened contacts don't get automatic routing priority.
By following these steps, you can effectively re-engage with valuable contacts and keep your VanillaSoft pipeline moving forward.
