How to Listen to Call Recording

With VanillaSoft, you are able to store your Call Recordings within the contact's profile for easy future review. This makes for a great training tool, or if you want to keep track of previous conversations in greater detail than comments/notes could provide. There are several ways to listen to Call Recordings. In this article, we will guide you through how to listen to a contact's Call Recordings.

Note: If Call Recording is not enabled, you can follow our article on How to Enable/Setup Call Recording to get this feature setup.

Run a Call Recording Query as an Admin

  1. Log in to VanillaSoft as an Admin.
  2. Go into the project that contains the contact(s) you wish to listen to.
  3. From the menu on top, select the Dialing & Recording tab then go into the Audio Review section.
  4. Enter the search criteria you would like to bring up, then click Search.
  5. Here you have the option to either delete, download, play, or open the contact along with showing the information from the call itself.

 

Listen to a Call Recording as an Admin

  1. Log in to VanillaSoft as an Admin.
  2. Go into the project that contains the contact(s) you wish to listen to.
  3. From the menu on top, select the Contacts & Reports tab then go into the Search Contacts section.
  4. Search for the contact and open their Contact Information page.
  5. Click on the Audio Review tab from the top of the page.
  6. Here you have the option to either delete, download, play, or open the contact along with showing the information from the call itself. 

 

Listen to a Call Recording as a Caller

  1. With the contact on your screen (you may need to search for it), open the Audio Review tab.
  2. Here you have the option to either download or play the recorded call.

Note: If you don't see the Audio Review tab, your Admin would have to enable this for your profile and/or allow it in the Page Layout section.

 

Listen to a Call Recording from the VanillaSoft VoIP Portal

  1. Login to your VanillaSoft VoIP portal.
  2. From the menu on the left, go into the Mailbox category then select the Call Recordings section.
  3. Click the magnifying glass at the top-right and enter your search criteria (you can search by date, phone number, or name if applicable), then click Search.
  4. Here you have the option to either delete, download or play the recording(s) along with showing the information from the call itself. 

Note: If you haven’t registered for the new VoIP portal, follow the Registering for the VoIP Portal article to get signed in.

 

No Call Recording Available

If you aren't able to see the Audio Review tab, or there aren't any Call Recordings listed, this could be caused by one of several reasons. For more information on resolving this, follow our No Call Recordings listed in Audio Review article.
