Ensuring that the Contact's time zone is configured properly, will make sure that any scheduled Callbacks and/or Appointments are set to the correct time. You can have VanillaSoft determine which time zone a Contact should have or manually configure an individual Contact as needed. Below are the steps on how to configure a Contact's time zone.
Note: If any changes are made, they will only take effect moving forward. Any previously scheduled Callbacks and/or Appointments will not be updated automatically. To find out more about updating your previously scheduled contacts, read our Reschedule or Cancel a Callback/Appointment article.
Project Setting
- Log in as an Admin.
- Click the gear icon
beside the Project name (examples are shown below).
- Open the Contact's Time Zone Determined By drop-down.
- Select one of the following:
- Area Code - This determines the time zone based on the area code of the Contact's phone number. If there are multiple area codes from different time zones, VanillaSoft will use the Western-most time zone.
- Zip/Postal Code (US/Canada only) - This determines the time zone based on the zip or postal code list in the Contact's information.
- Once done, click Save.

Configure Time Zone Manually Per Contact
There are times that you will need to configure the time zone manually for an individual Contact. You can do this from either the Admin or Caller side. If you configure a Contact's time zone manually, VanillaSoft will not automatically update this information based on a project setting. Follow the steps below to change a Contact's time zone:
As an Admin
- Log in to VanillaSoft as an Admin.
- Select the desired Project.
- From the menu at the top, select the Contacts & Reports tab, then the Search Contacts section.
- Enter the Contact's information and click Search.
- Click the
icon to the far-left of the Contact to open the Contact Information page.
- Open the Time Zone drop-down and select the desired time zone.
- Once done, click Save.
As a Caller
- Log in to VanillaSoft as a Caller.
- Bring up the desired Contact (you may need to use the search tool in the top-right).
- Click on Edit located in the top-left.
- Open the Time Zone drop-down and select the desired time zone.
- Once done, click Save.
