From time to time, you may be asked to, or may need to disconnect your email account and reconfigure it. This is often due to changes in the way Google, Microsoft or SMTP servers make their connection to email services such as VanillaSoft, and a reconfiguration is needed to adapt to their changes. In some cases, not reconfiguring email settings can mean that emails do not send properly from VanillaSoft, or may not send at all, which may not be immediately clear to your callers.
Generally speaking reconfiguration means “sign out and sign back in again” to your email service inside VanillaSoft and is typically a very fast and simple task.
Select which scenario(s) apply to your case:
- The Callers on your account can access the My Email Account page.
- The Admin for your account can manage the email connection for callers.
- Your account is using Project Email Settings.
Callers will Disconnect and Reconfigure Their Own Email Account
In this case, Callers have access to the My Email Account page and can make this adjustment. The users needing to disconnect and reconfigure their email account will follow these steps while being logged in to VanillaSoft:
- Click on your username in the top-right corner of the screen.
- Select My Email Account from the left-hand pane.
- Click the Disconnect button.
- On the confirmation popup, select Yes.
- Once you receive confirmation that you have been disconnected, select Connect with Google.
- Sign in to your desired Google account.
- After successfully signing in to your Google account, select Allow.
This process should take no more than a minute or two, and once steps above are complete, the account is reconfigured.
Admins Disconnect and Reconfigure Email Accounts on Behalf of Callers
In this case, Callers do not have permissions to self-configure and the Admins for the account must follow these steps, while being logged in to VanillaSoft, to reconfigure the Callers’ email accounts:
- From the menu at the top, click Users.
- Enter the desired username in the Search Users field and hit Enter.
- Click on the username.
- If the Email Account section is configured, select Delete Configuration, otherwise proceed to the next step.
- Select Connect with Google.
- Sign in to your desired Google account.
- After successfully signing in to your Google account, select Allow.
- Confirmation will be presented as a message stating "Connected with Google".
Disconnecting and Reconfiguring Email Accounts when Project Settings are In Use
In this case, the VanillaSoft account has been set up using Project Email Settings. When a reconfiguration with Project Email Settings is required, extra attention should be paid to ensure the complexities of multiple projects with multiple Callers are addressed. Admins for the account must follow these steps, while being logged in to VanillaSoft, to reconfigure the Callers’ email accounts when using Project Email Settings:
- Open the Email, SMS & Docs menu and select Project Email Settings.
- Select Configure.
- For all Projects where Email Accounts are configured, select Disconnect.
- Reconfigure the desired Projects by opening the Connect menu and selecting Google.
- Confirmation will be presented as a message stating "Connected".
