When managing your Contact database, there may be times when you need to copy a Contact or Contacts from one Project to another. Before beginning, there are a few things to note:
- Field Names Must Match - If there are any differences in any of the mapped fields from one Project to another, the information in that field will not be copied. This means if the current Project has the field 'Birth-date,' but the destination Project doesn't have the same field, the information will not be copied during this process. This also applies to Teams, Lead Status, and any other field where data is present.
- Result Codes Must Match - If there are any differences with any of the Result Codes used, the Call History will not be copied. If you want to copy over the Call History into the new Project, you will need to ensure that all the Result Codes match the ones that have been used on the Contacts you are copying.
- Admin Access is Required - To proceed with the steps below, you will need to have Admin access within VanillaSoft. If you do not have Admin access, please reach out to your Administrator.
Copy Contacts to Another Project
- Log in to VanillaSoft as an Admin.
- Select the desired Project where contacts reside.
- Open the Contacts & Reports menu and select the Contact Management section.
- If you want to build your Query from scratch, click Build a New Query.
- If you have a saved Query, click Select This Query, then Edit This Query from the saved Query's menu to use a pre-build Query.
- If you have a saved Query, click Select This Query, then Edit This Query from the saved Query's menu to use a pre-build Query.
- Add any fields that would determine which Contacts you would like to copy.
- Set the Filter and Value for each desired field as needed to show the specific list of Contacts to be updated.

- Once each Field has the Filters and Value set as desired, click Run Query.
- Click the Perform Task button.
- On the Actions to perform on Query window, select Copy Contacts to Other Project.
- Select Confirm to proceed.
- Open the Destination Project drop-down and select the desired Project.
- Once selected, click Next.
- If there are any mapping differences, you will see which areas will not be mapped.
- Either click Back to correct any mapping errors or select Copy Contacts to proceed.
- Once the copying process is complete, click Close to return to your Query results.
At this time, the Contacts have been copied into the new Project. If you would like to copy one of your existing Projects, you can do so by following the steps listed in our How To Copy a Project's Settings article.
