Managing your scheduled callbacks and appointments effectively is crucial for maintaining good communication with your contacts. VanillaSoft allows both Callers and Admins to adjust these events based on their access level.
Canceling or Rescheduling as an Admin
Admins can manage callbacks and appointments with additional control:

Access the Contact's Project: From the Admin homepage, navigate to the project where the contact is located.

Search for Contact: Open the Contacts & Reports menu then select Search Contacts

Find the Contact: Enter the necessary information for the contact and click Search (see How to Search for Contacts in VanillaSoft for more details).

Open Contact: Click the Open Contact icon for the desired contact.
- Make Adjustments:

To modify a callback or appointment: Update the Agent, Date, and/or Contact's Time as needed.

To cancel a callback or appointment: Open the Agent drop-down and select "-----USERS-----", delete the Date, set the Contact's Time to "--", and save your changes.

Confirm the Changes: Click Save to apply your adjustments.
Canceling or Rescheduling as a Caller
Follow these steps to cancel or reschedule an appointment or callback as a Caller:

Locate the Contact: From the Caller homepage, find the contact by either performing a search or selecting them from your calendar (see How to Search for Contacts in VanillaSoft for more details).

Open Result Code List: Click Results at the top of the Quick Result Call list.

Select New Result Code: Choose a new Result Code that reflects the action you want to take (cancel or reschedule), entering any necessary information based on the chosen Result Code.

Save the Changes: Click Result Call & Save to finalize the changes.
Important Note
After making any cancellations or rescheduling, the history of the original entry will be stored in the Call History table for future reference. This allows you to keep track of changes and maintain accurate records.
By following these guidelines, both Callers and Admins can handle changes to appointments or callbacks efficiently, ensuring that communications are kept up-to-date and relevant.
