The "Export daily contact changes to your FTP server" feature in VanillaSoft allows admins to automatically export any recent changes made to custom fields, phone fields, or contact fields within a project to an FTP server. You can track up to a maximum of five changes per field and configure this export process to run every night, generating CSV files of the changes.
Prerequisites
Before enabling this feature, ensure your SFTP server is connected to your VanillaSoft account:
- If you are not a customer yet, contact the Sales team.
- If you are already a VanillaSoft customer, contact your Success team to establish the FTP connection.
Once your SFTP server is set up, you can proceed with enabling this feature.
Steps to Enable Daily Contact Export
- Select Project: From the Admin homepage, select the project for which you want to configure contact changes export.
- Access Export Contacts: Open the Contacts & Reports menu, then select Export Contacts.
- Open Export Contact Changes: Click the Export Contact Changes tab to manage templates and settings for the export.
- Select or Add Template: Either open an existing template or click Add Template to create a new one.
- Enter Template Name: If you are creating a new template, give your template a unique name for easy reference.
- Enable FTP Export: Check the Export daily contact changes to your FTP server checkbox.
- Configure Export Settings: Set the Change Options to export the last change only or export the last 5 changes.
- Set File Options: Choose between creating one CSV file for all tracked fields or separate CSV files for each field.
- Configure Fields to Export: Click Add/Remove Fields and select which fields you want to track. Add at least one field each to the Tracked Fields and Reference Fields sections.
- Tracked Fields: These are the fields where changes will be recorded.
- Reference Fields: These fields provide context for the tracked changes, such as contact name or ID.
- Save Template: Once all settings and fields are configured, click Save.
Once enabled, the daily contact changes export will automatically run every night, generating the CSV file(s) containing the tracked changes and saving them to your connected FTP server. Only fields where changes occurred during the selected date range will be included in the exported file(s).
This feature is highly useful for ongoing campaigns, as you can track changes across various contact fields and always stay updated with the latest changes in your contacts.
