Voicemail in Vanillasoft VoIP allows you to manage missed calls by storing messages from contacts who reach your voicemail. Configuring voicemail settings ensures that callers can leave messages when you're unavailable, and you can customize greetings, retention policies, and notification preferences to match your workflow. This feature is particularly useful for managing high call volumes, maintaining professionalism during off-hours, and ensuring no important message is missed.
Voicemail settings are configured within the Vanillasoft VoIP portal. Once set up, voicemail messages are delivered to your extension, where you can retrieve and manage them based on your preferences.
Set Up Voicemail

Log in to the Vanillasoft VoIP portal.
- Note: This portal may display Cloudli branding because it is hosted by Cloudli. All configuration and support are handled by Vanillasoft. For assistance, contact Vanillasoft Support.

Open the Telephony menu from the main navigation.

Select the Voicemail submenu.

Click New to create a voicemail configuration.

Open the Extension drop-down and select the extension that represents the voicemail you want to configure.

Enter a Password for accessing voicemail.
- This password will be required when retrieving voicemail messages from your phone.

Confirm the User field displays the correct user associated with the selected extension.

Select the number of days to retain voicemail messages before they are automatically deleted.

Record your name by choosing one of the following options:

Option 1: Upload an existing recording: Select Choose File to upload a prerecorded audio file from your computer. The audio file must be in .wav format.

Option 2: Record a new message by phone: Click the option to record a message using your phone. The system will call your extension with instructions to record your name, which will be applied automatically.

(Optional) Record a voicemail greeting that callers will hear when they reach your voicemail.

Option 1: Upload a file: Select Choose File to upload a prerecorded greeting in .wav format.

Option 2: Record live: Click the option to record your greeting by phone. The system will call your extension and guide you through recording the voicemail greeting.

(Optional) Configure a vacation message to temporarily override your default greeting.

Option 1: Upload a file: Select Choose File to upload a prerecorded vacation message in .wav format.

Option 2: Record live: Click the option to record your vacation message by phone. The system will call your extension and guide you through recording the temporary greeting.

When finished, click Save to apply your voicemail settings, or click Save and Continue to save your changes and configure another voicemail.
Your voicemail is now configured and ready to receive messages. To manage or update your settings, return to the Telephony menu and select Voicemail to edit your configuration. For additional support, contact Vanillasoft Support.
