Monitoring the status of emails sent to contacts is an essential feature that helps in assessing the effectiveness of email campaigns and communication strategies. Both Callers and Administrators can view the current status of emails, which can provide valuable insights into engagement levels and potential issues with email delivery.
Understanding Email Statuses
VanillaSoft tracks four key email statuses:

Queued: The email is prepared but has not yet been sent from VanillaSoft.

Sent: The email has been dispatched to the contact but has not been opened.

Opened: The recipient has opened and/or read the email.

Bounced: The email was unable to reach the recipient due to a server rejection or an incorrect email address.
How to View Email Status as an Admin
Administrators have the ability to view detailed email statuses within the context of a project. Here's how:

Log In as an Admin: Access VanillaSoft with your admin credentials.

Select a Project: Choose the project related to the contact whose email status you need to check.

Navigate to Contacts & Reports: Open the Contacts & Reports menu and select the Search Contacts section.

Search for a Contact: Enter the contact details in the search fields and hit Search.

Access Contact Information: From the search results, click on the desired contact.

Access Email List: In the Contact Information window, click on the Emails tab.
- View Email Status: If there is an Email icon next to Call History, click on it to view more details.
- A new window will display the Emails Sent, along with the Email Status on the right.
How to View Email Status as a Caller
Callers can view the status of emails sent to their contacts directly from their interface:

Log In as a Caller: Sign into your VanillaSoft account as a Caller.

Search for a Contact: Use the search bar at the top to enter the contact's details and click on the Search icon.

Select the Contact: Click on the desired contact from the Search Results.

Access Email List: In the Contact Information window, click on the Emails tab.
- View Email Status: If there is an Email icon next to Call History, click on it to view more details.
- A new window will display the Emails Sent, along with the Email Status on the right.
