VanillaSoft Admins can configure how Users send emails on a per-Project basis. All emails sent through a Project can originate from one email address or be sent from each User's email address.
By default, every Project allows Users to conveniently send emails through VanillaSoft, utilizing their personalized Email Account configuration in their user profile. If a user profile's email account is not configured, Admins and Callers can follow the Setting Up Your Email Account article.
Note: The Project Email Settings page must be configured for each VanillaSoft Project.
Configure a Project's Email Settings
- Log in to VanillaSoft as an Admin.
- Select the desired Project.
- Open the Email, SMS & Docs menu, then select Project Email Settings.
The Project Email Settings page has three main settings options. The second and third options have an additional subset of options. Instructions for each option are provided below.
Note: If using a Project-specific SMTP server, open the SMTP tab to validate the configuration.

Use the Sender's Email Configuration as Defined in their User Profile
- Select the option Use sender's email configuration as defined in their user profile.
- Note: This is the default setting for new Projects.
- If desired, check the sub-option Apply an email alias for individual users on this project checkbox so the admin can assign an email alias for selected users.
- Note: The email alias must also be configured with the email service provider if you are not using VanillaSoft Email Service.
- Click Save.
Emails are sent based on the email configured on each user's profile. If any of your users are currently using the VanillaSoft Email Service (i.e., not using SMTP) to send emails, you will need to verify each email domain (e.g. example@vanillasoft.com) by following the steps in the Verify an Email Domain article.
Use a Project-Specific Google, Microsoft, or SMTP Account to Send All Emails From This Project
- Select the option Use a Google, Microsoft, or SMTP account to send all emails from this Project.
- Note: If this option is selected, users must be configured with a Project-specific email account to send emails in VanillaSoft.
- Alternatively, select the sub-option Apply a master email account for all users to have all emails sent from a single Project-specific email account.

Note: Click your desired email option to finish configuring the Project email.

All emails are sent from a single Project-specific email account.
Use VanillaSoft's Email Service Provider to Send All Emails From This Project
- Select the option Use VanillaSoft's Email Service Provider to send all emails from this Project to have a project-specific email account configured for each user.
- Note: If this option is selected, users not configured with a Project-specific email account cannot send emails in VanillaSoft.
- Alternatively, select the sub-option Apply a master email address for all users so that all emails are sent from a single Project-specific email account.
Note: Enter the Project Email Address and optional Display Name to finish configuring the Project email.
- Click Save.
If any of your users are currently using the VanillaSoft Email Service (i.e., not using SMTP) to send emails, you will need to verify each email domain (e.g. example@vanillasoft.com) by following the steps in the Verify an Email Domain article.
