An optimized workflow is essential for managing leads efficiently. Call Priority ensures prompt handling of uncontacted leads, enhancing workflow. It allows focus on high-priority leads, increasing successful interactions.
Before You Begin
When the Call Priority field is empty, it automatically assumes the highest priority. When values are present, the sorting method organizes the priority list based on the first digit of each value, then the second digit, and so on.
For instance, "02" takes priority over "10". However, "2" does not take priority over "10" because the first digit of "10" is "1". We recommend matching the highest priority value to the number of digits in the most contacts you'll assign a call priority to. For example, assigning Call Priorities to 352 contacts starts your highest priority with three digits, such as "001". Click to expand to see the following steps:
Set Call Priority Upon Import
- Open your spreadsheet and add a Call Priority column.
- You may need to make this a plain text column to retain any values starting with 0.
- Assign the desired Call Priority value to each contact.
- Save the spreadsheet as a CSV file.

- From the Admin homepage, open the specific Project where you want to import contacts.
- Navigate to the Contacts & Reports menu and select the Import Contacts section.
- Click Choose File and locate your CSV spreadsheet.
- Select the file and click Open.
- Choose the desired mapping from the Import Mapping drop-down if you've saved mapping preferences. Otherwise, you can skip this step.
- In the Import Method drop-down, choose from the following options:
- Add Contacts: Add all contacts from your spreadsheet without checking for duplicates.
- Add Contacts / Skip Duplicates: Add new contacts but skip duplicates based on the chosen field.
- Add / Update Contacts: Add new contacts and update duplicates based on the specified field.
- After making your selections, click Next.
- Map the relevant fields from your spreadsheet to the corresponding VanillaSoft fields, ensuring you map the Call Priority fields accordingly.
- VanillaSoft will attempt to map fields automatically, but verifying all mapping before proceeding is advisable.
- Once your mapping is complete, select Start Import.
Change Call Priority for Callers
- From the Caller screen with the desired contact displayed, click Edit.
- Enter the desired Call Priority value.
- Save the changes.
Change Call Priority for Admins
- From the Admin homepage, open the specific Project where contact(s) reside.
- Click on the Contacts & Reports tab, then enter the Search Contacts section.
- Input your search criteria and click Search.
- Click the Open Contact icon to bring up the contact information page.
- Enter the desired Call Priority value
- Save the changes.
Change Call Priority for a Batch of Contacts (for Admins):
- From the Admin homepage, open the specific Project where contact(s) reside.
- Under Contacts & Reports, click on Contact Management.
- Build a new query, ensuring to add the Call Priority field.

- Add any other fields and filters to narrow your results to only list the contacts that will receive the same Call Priority value, and click Run Query.
- Click Perform Task to open the action menu.
- Select Update Contacts.
- Check the Call Priority box and enter the desired value in the field to the right.
- Confirm the changes by clicking Update.
