Setting Up Outgoing Web Leads

Outgoing Web Leads in VanillaSoft allow you to automatically send information in various formats based on specified triggers. This feature supports XML, HTTP Form POST, or JSON formats, facilitating seamless integration with external systems. How to Configure Outgoing Web Leads

  1. Access Web Lead Settings: From the Admin homepage, open the Integration menu and select Outgoing Web Lead.

  2. Add New Web Lead: Click the Add Outgoing Web Lead button to start the setup.

  3. Activate the Web Lead: Check the Active checkbox to make the integration active upon completion.

  4. Define Web Lead Details: Enter the Web Lead Name, Description, and Posting URL that will be displayed in your outgoing web leads list.

  5. Select Post Format: Open the Post Format drop-down and select either XML, Form (HTTP), or JSON. If XML is selected, further choose the desired XML Template from the dropdown menu.

  6. Configure Error Handling: Enter the Number of Retries on Error, Email Address for Error Notifications, and check if you want to Send Data Email on Last Error. Additionally, specify the email address to receive last error details notifications.

  7. Set Expected Response for Success: Fill out the Expected Response on XML Success field to define what response indicates a successful post.

  8. Specify Result Code Triggers: Select all result codes that will initiate the web lead post.

  9. Map Fields: In the Field Mapping section, select the VanillaSoft Field from the drop-down, specify the Outgoing Field Name, and enter the Default Value. Add the mapping by clicking the green plus symbol and repeat as needed for all desired field mappings.

  10. Save Configuration: Click Save once all settings are configured to activate the web lead.

Key Definitions and Tips

  • Active: Ensures web leads are only exported if selected.

  • Web Lead Name: Identifies the outgoing web lead, e.g., "Qualified Clients".

  • Description: Describes the outgoing web lead, e.g., "Post qualified contacts to our internal database".

  • Posting URL: The destination web address for the data.

  • Post Format: Determines whether data is sent as XML, HTTP Form POST, or JSON.

  • Result Code Triggers: Defines which actions by callers trigger the web lead post.

  • Field Mappings: Dictates the data to be sent, allowing you to specify which VanillaSoft field corresponds to which outgoing field name and set a default value if necessary.
