Sending emails to your contacts in VanillaSoft is a straightforward process that can be done using either an email template or by drafting a new email from scratch. This guide will walk you through the steps for both Admins and Callers, ensuring you can communicate effectively with your contacts.
Note: VanillaSoft does not allow the sending of emails from a free email address such as Gmail, Yahoo, Hotmail, etc., unless you are set up to use an SMTP server. For more information, read our Setting Up Your Email Account article.
Sending an Email as an Admin

Select Project: From the Admin homepage, select the project that contains the contact you wish to email.

Search for the Contact: Open the Contacts & Reports menu and select Search Contacts. Enter the contact's information and open their Contact Information page.

Open the Email Tab: At the top of the Contact Information page, open the Email tab.

Click Send Email: Locate and click the Send Email button to the far right.

Choose or Draft an Email: Select the template you want to use and click Next. To start from a blank email, simply click Next without selecting a template.

Send the Email: Compose your email and when ready, click Send.
Sending an Email as a Caller

Select the Email Icon: While logged in as a Caller with the contact's information in front of you, click the Email icon. If the contact is not present, use the search function to find them.

Choose or Draft an Email: Select the template you want to use and click Next. To start from a blank email, simply click Next without selecting a template.

Send the Email: Compose your email and when ready, click Send.
Additional Information
When a contact replies to your email, their response will go directly to your mailbox for further conversation. VanillaSoft does not receive or store any replies, ensuring your email communications remain secure and private.
