It is required for each user to connect an email account in order for them to send emails from VanillaSoft. You can connect an email account to VanillaSoft by using one of the four following methods:
- Connect with Google
- Free Gmail accounts or non-free (@company.com) email addresses
- Connect with Microsoft
- Connect a Microsoft 365 account
- Connect with SMTP
- An SMTP (Simple Mail Transfer Protocol) server allows you to send, receive, and/or relay outgoing mail between email senders and receivers
- Connect with VanillaSoft’s Email Service
- Only email addresses from a verified domain are allowed. Learn more by following the steps in our Verify an Email Domain article.
Setting up an email account can be carried out from both the caller and the admin side. Permission for a caller to set up their own email account can be given in the ‘Manage Users’ page or in the ‘Edit User’ page.

Set Up Email Account as an Admin
- Log in to VanillaSoft as an Admin.
- From the menu at the top, select Users.
- Click on the Username you wish to configure.
- Under the Email Account section, click on your desired email option. Some options are hidden under + More options.

Setup Email Account as a Caller
- Log in to VanillaSoft as a Caller.
- Click on your Username in the top-right corner.
- Select My Email Account New from the left-hand pane.
- On the My Email Account page, click on your desired email option.

Connect with Google
- Select Connect with Google.
- At the pop-up, select an existing Google account or log in to another account.
- Click Allow so VanillaSoft can access your Google account.
- Once the validation is successful, VanillaSoft will indicate your email account is connected with a green banner.
Additionally, you can enter a Display Name and an email alias. The email alias must also be set up within the email provider. You can read more about it here.
Connect with Microsoft
- Select Connect with Microsoft.
- At the pop-up, log in to your Microsoft 365 email address.
- Click Yes so VanillaSoft can access your Microsoft account.
- Once the validation is successful, VanillaSoft will indicate your email account is connected with a green banner.
Additionally, you may enter a Display Name and an email alias (the email alias also needs to be set up with the email provider. You can read more about it here.
Connect with SMTP
- Select Connect with SMTP.
- Enter your Email Account information at the pop-up window.
- Note: If you aren't sure what your SMTP information is, take a look at our Common SMTP Server Settings article.
- When you're finished, click Connect.
- Once the validation is successful, VanillaSoft will indicate your email account is connected.
- Note: Additionally, you can enter a Display Name and an email alias (the email alias also needs to be set up within the email provider).
Connect with VanillaSoft's Email Service
- Select Connect with VanillaSoft's Email Service.
- Enter your Email address.
- Note: The Display Name field will default to the First and Last names in your User Profile.
- Once done, click Connect.
- Once the validation is successful, VanillaSoft will indicate your email account is connected.
- Note: The email address domain needs to be verified by the admin, otherwise connection with VanillaSoft Email Service will not be successful. Learn more from our Verify an Email Domain article.
