Once you have enabled call recording and transcription in VanillaSoft, you can access transcriptions and summaries for your calls. This article provides steps for both Callers and Admins to access these features. Please note, calls must be longer than 20 seconds, and the result code used must have recording enabled for transcription to be available.
Requirements
- VanillaSoft VoIP Line: You must be using a VanillaSoft VoIP line.
- VS Connect: Ensure you are using the VS Connect softphone.
- Call Recording: Call Recording must be enabled on your account. Follow the steps in our Setting Up Call Recording in VanillaSoft article.
- Call Length: Transcription is available for calls longer than 20 seconds.
- Result Code with Recording: The result code must have the Recording option checked. To configure result codes, refer to the Create Result Codes in Your VanillaSoft Project article.
Access Call Transcription and Summary as a Caller
Search by Audio Review

Open the Menu: From the Caller side, open the menu at the top left.

Select Audio Review: Once the menu is open, select Audio Review.

Search for the Contact: Enter any relevant information into the filters, then click Search.

Access the Transcript: Click on the transcript icon for the call you wish to view.

View the Transcript or Summary: Open the Transcript tab for the full transcript, or the Summary tab for a summarized version of the call.

Search within the Transcript: Use the Search In Transcript feature to find specific details.
Access Call Transcription and Summary as an Admin
Search by Audio Review

Select Project: From the Admin homepage, open the desired project.

Open Audio Review: Open the Dialing & Recording menu and select Audio Review.

Search for the Call: Enter any relevant details into the filters and click Search.

Access the Transcript: Click on the transcript icon to view the call.

View the Transcript or Summary: Open the Transcript tab or the Summary tab to see the desired information.

Search within the Transcript: Use the Search In Transcript feature to locate specific details.
Search by Contact

Select Project: From the Admin homepage, open the desired project.

Access Search Contacts: Open the Contacts & Reports menu, select Search Contacts.

Search for the Contact: Enter any relevant information into the filters, then click Search.

Open Contact Information: Select and open the desired contact.

Access Audio Review: Open the Audio Review tab within the contact record.

Access the Transcript: Click on the transcript icon to view the call.

View the Transcript or Summary: Open the Transcript tab or the Summary tab to see the desired information.

Search within the Transcript: Use the Search In Transcript feature to locate specific details.
