SMS in Vanillasoft allows Callers to send and receive text messages directly from their assigned VoIP number, making it easy to follow up with contacts and keep conversations moving between calls.
SMS requires an active Vanillasoft VoIP line. If your account does not yet have VoIP enabled, contact the Vanillasoft Sales team to get started. Once VoIP is active, an Admin must complete two steps before a Caller can send their first message: assigning an SMS number in the Vanillasoft VoIP portal, and enabling SMS on the Caller's account in Vanillasoft.
Step 1: Assign an SMS Number in the VoIP Portal
Before SMS can be used, a phone number must have SMS enabled and be assigned to the Caller in the Vanillasoft VoIP portal. This is completed by an Admin.
Log in to the Vanillasoft VoIP portal.
- Note: This portal may display Cloudli branding because it is hosted by Cloudli. All configuration and support are handled by Vanillasoft. For assistance, contact Vanillasoft Support.
Open the Telephony menu from the main navigation.
Select SMS Number.
Click New to add a new SMS number.
Open the Telephone number drop-down and select the phone number you want to enable SMS for.
Select the user you want to assign the SMS number to.
- When finished, click Save to apply the SMS number, or click Save and Continue to save and assign another SMS number.
Step 2: Enable SMS for the Caller in Vanillasoft
Once the SMS number is assigned in the VoIP portal, SMS must also be enabled on the Caller's account in Vanillasoft. This is completed by an Admin.
Log in to Vanillasoft as an Admin.
- If you are logged in as a Caller, switch to Admin from the top menu.
From the top menu, select Users.
Search for the user by entering their Username, then press Enter.
Click the Username to open the user profile.
Select the VoIP Line Configuration tab.
Check the SMS Text Messaging checkbox.
Click Save to apply the change.
- Click Close on both confirmation messages that appear. The Caller must log out and log back in before SMS becomes active on their account.
SMS is now set up and ready to use. To start sending messages, refer to the How to Use an SMS Template article. For guidance on keeping your messages compliant and deliverable, refer to the SMS Compliance and Best Practices article. For additional support, contact Vanillasoft Support.
