SMS templates save time and keep your messaging consistent by giving Callers a ready-made starting point when texting contacts. Templates can be personalized using Contact Variables to automatically fill in contact-specific details like name and company.
Both Admins and Callers can create SMS templates. Admin-created templates are available to the whole team, while Caller-created templates are personal to that Caller. Note that Admins cannot modify templates created by Callers, and vice versa.
Create an SMS Template as an Admin

Log in to Vanillasoft as an Admin.
- If you are logged in as a Caller, switch to Admin from the top menu.

Select the desired Project.

Open the Email, SMS & Docs menu and select SMS Templates.

Enter a name for the template in the template name field, then click Add Template.

Open the Status drop-down and select whether the template should be available to Callers.

Write your message in the template editor. Use Insert Contact Variable to personalize the message and Insert Opt-Out to include an opt-out option for the recipient.

(Optional) Enter your mobile number in the Send SMS Test field and click Send to preview how the message will appear to recipients.
- Contact Variables will appear as placeholders in the test message, not actual contact information.
- Click Save.
Create an SMS Template as a Caller

Log in to Vanillasoft as a Caller.
- If you are logged in as an Admin, switch to Caller from the top menu.

Click My SMS at the top of the page.

Open the SMS Templates section from the top of the page.

If you want to create a template for a different project, open the SMS Templates for Project drop-down and select the desired project.

Enter a name for the template in the template name field, then click Add Template.
