Connecting an email account is required before you can send emails from Vanillasoft. You can connect using Google, Microsoft, SMTP, or Vanillasoft's own email service, depending on what your organization uses.
Email accounts can be connected by an Admin on behalf of a user, or by the Caller themselves if their Admin has granted them permission to do so.
Connect as an Admin
Log in to Vanillasoft as an Admin.
- If you are logged in as a Caller, switch to Admin from the top menu.
From the top menu, select Users.
Click the Username you want to configure.
Under the Email Account section, click your desired email option. If you do not see all options, click + More Options to reveal them.
Continue to the section below that matches your email option to complete the connection.
Connect as a Caller
Log in to Vanillasoft as a Caller.
- If you are logged in as an Admin, switch to Caller from the top menu.
Click your Username in the top-right corner.
Select My Email Account New from the left-hand pane.
Click your desired email option. If you do not see all options, click + More Options to reveal them.
Continue to the section below that matches your email option to complete the connection.
Connect with Google
Use this option to connect a free Gmail account or a Google Workspace email address (such as a company email hosted by Google).
Select Connect with Google.
At the pop-up, select an existing Google account or log in to another account.
Click Allow to grant Vanillasoft access to your Google account.
- Once the connection is successful, Vanillasoft will display a green banner confirming your email account is connected.
You can also enter a Display Name and an email alias by checking the Send email using a different email address checkbox. The alias must also be configured within your Google account. For more information, refer to Google's documentation on email aliases.
Connect with Microsoft
Use this option to connect a Microsoft 365 email account.
Select Connect with Microsoft.
At the pop-up, log in to your Microsoft 365 email address.
Click Yes to grant Vanillasoft access to your Microsoft account.
- Once the connection is successful, Vanillasoft will display a green banner confirming your email account is connected.
You can also enter an email alias by checking the Send email using a different email address checkbox. The alias must also be configured within your Microsoft account. For more information, refer to Microsoft's documentation on email aliases.
Connect with SMTP
Use this option to connect an email account using an SMTP server. SMTP (Simple Mail Transfer Protocol) allows Vanillasoft to send emails on your behalf through your email provider's outgoing mail server.
Select Connect with SMTP.
Enter your email account information in the pop-up window.
- If you are unsure of your SMTP settings, refer to the Common SMTP Server Settings article for a list of common provider settings.
When finished, click Connect.
- Once the connection is successful, Vanillasoft will confirm your email account is connected.
You can also enter a Display Name and an email alias by checking the Send email using a different email address checkbox. The alias must also be configured within your email provider.
Connect with Vanillasoft's Email Service
Use this option to send emails through Vanillasoft's own email service. Only email addresses from a verified domain are supported. If your domain has not been verified, contact your Admin.
Select Connect with Vanillasoft's Email Service.
Enter your email address.
- The Display Name field will default to the first and last name from your user profile.
Click Connect.
- Once the connection is successful, Vanillasoft will confirm your email account is connected.
- If the connection fails, your domain may not be verified. Refer to the Verify an Email Domain article for instructions, or contact your Admin.
